This page answers the most frequently asked questions.

## **My company is not using Kleos yet. How can I invite them?**

Tell your accountant or manager about Kleos and suggest booking a meeting with one of our managers. We’ll explain the platform’s features, answer any questions, and help them get started more quickly: <https://kleos.io/demo>

## I’m withdrawing funds to my bank account. When will I receive them?

**Withdrawal processing times:**

* **Visa/Mastercard:** usually **instant**, though in some cases it may take up to **30 minutes**. Additional checks may extend processing time to **24 hours**.
* **USDT:** usually **instant,** additional checks may extend processing time to **12 working hours**.
* **SWIFT/ACH:** **1-3 business days**. Depending on your country and bank, the transfer may take up to **4–5 business days** to be completed.
* **Local bank transfer —** 2–3 hours or up to 5 hours in some cases. Transfers may take up to 24 hours if additional checks are required.

The first transfer to newly added payment details may be subject to additional review.

We accept withdrawal requests **24/7**, and processing takes up to **1 business day**.

## **I’m having trouble completing verification through Sumsub. What should I do?**

When going through verification, make sure your face is clearly visible and that you have your identity document ready.

Please upload **photos instead of scans**. All information on the document must be clearly readable, the image should be free of glare, and all four corners of the document must be visible.

If you are unable to complete verification for any reason, contact support through the widget in your personal account or email us at **<support@kleos.io>** — we’ll help you.

## **My agreement is not loading for signature. What should I do?**

In some countries, there may be issues loading the service. Please try using a different connection method (for example, switching to Wi-Fi or mobile data) or try again from another device.

Problems may also be caused by **VPN services**. Please disable them and try again.

## **Sumsub is not loading. What should I do?**

In some countries, there may be issues loading the service. Please try using a different connection method (for example, switching to Wi-Fi or mobile data) or try again from another device.

Problems may also be caused by **VPN services**. Please disable them and try again.

## **Errors occur on the Kleos platform. Some windows do not load or some buttons do not work. What should I do?**

Please note that withdrawals are not available until the [user has signed the agreement with Kleos and completed verification.](/for-contractors-1/how-to-complete-verification-and-set-up-your-profile)

In some countries, **DocuSign** and **Sumsub** may not load properly. Try switching to a different connection, such as Wi-Fi or mobile data, or try again from another device.

Problems may also be caused by **VPN services**. Please disable them and try again.

## **Does Kleos charge a fee for withdrawals or receiving payouts?**

We do not charge contractors any fees. However, some banks may charge a fee for incoming transfers.

## **I can’t create a payout for a contractor. What is the reason?**

Most likely, the contractor has not [completed registration and has not accepted your invitation to work with you.](/for-contractors-1/how-to-accept-an-invitation-from-a-company-or-invite-a-company) You can check the contractor’s agreement signing status and verification status in their profile.

## **What fees does Kleos charge, and who pays them: the Company or the Contractor?**

We charge a fixed fee of **50 USD/EUR** per payout to a contractor, depending on the payout currency.

## **Is it possible to have two accounts on the platform?**

No, a contractor can only have **one account** on the platform. However, a single account is sufficient to work with multiple companies and handle other use cases.

## **I’m not receiving the verification code. What should I do?**

Please check your **spam** folder first. You may also have reached the limit for login attempts. Each code remains valid for **15 minutes**, and after several unused or incorrect attempts, login may be temporarily restricted. Please contact our support team at **<support@kleos.io>**

## Why am I logged out after signing in, why does my session end unexpectedly, links do not open, or I get signed out when clicking buttons or moving to the next step?

This may happen if the date and time on your device are not set correctly. Please enable automatic date and time synchronization in your device settings, then sign in again.


# How to Sign Up and Log In to the Platform

This guide briefly explains how to start receiving your first payouts from companies on the Kleos platform as quickly and easily as possible.

By default, the primary way for a Contractor to register on the platform is by accepting an invitation from their client Company.

If you are sure that your Company is already using the platform, please do not register on your own. Instead, ask a Company representative to send you an invitation. This will allow you to access your personal account right away.

A Сontractor can access the Kleos platform in two ways:

* sign up for a new account
* log in to an existing account

Both sign-up and login are available via:

* **email + verification code**
* **Google authentication**

After logging in successfully, the Сontractor is redirected to their personal account.

## Invitation from a Company

If you have already received an invitation or are expecting one from a Сompany, please go to the [How to Accept an Invitation from a Company or Invite a Company](/for-contractors-1/how-to-accept-an-invitation-from-a-company-or-invite-a-company).

## **Self-registration without an invitation**

If you are signing up on your own and plan to invite a Company to collaborate with you through Kleos later, you can follow the steps below.

### Go to the registration page

Open the registration page at <https://app.kleos.io/register> and select **Contractor**.

### Fill in your details

At this step, Contractors are asked to provide **their name**, not the company name.

Enter your real name and email address, then click **“Create account”**

### **Registration confirmation**

Once you submit the form, two things happen automatically:

* a Contractor account is created
* the email sign-in flow is launched

In other words, registration and the first sign-in are combined into one process.

### **Login code**

A **6-digit** code will be sent to the email address you provided. Enter this code in the form from the previous step and click **“Confirm”** The code is valid for **15 minutes**. If it expires, you can request a new one in the form.

### **Complete registration**

Once you enter the correct code, the system will confirm that your Kleos registration is complete and redirect you to your personal account. To proceed with onboarding, follow the on-screen instructions. More details are provided in the next section of the documentation.

## **Log in to the platform**

If you already have a Contractor account, you can log in through the separate login form.

Open the login page at <https://app.kleos.io/login>, enter your email address, and click **“Continue with email”**

### Login confirmation

A **6-digit** code will be sent to the email address you provided. Enter this code in the for&#x6D;**.** The code is valid for **15 minutes**. If it expires, you can request a new one in the form.

# How to Complete Verification and Set Up Your Profile

This section explains how to complete the first required step — “Verify and complete your profile”

After signing up and logging in, the user is redirected to the Companies screen.

The first step for Сontractors on the platform is to complete identity verification. This is a simple process that can be completed using one of the following documents: a national passport, an international passport, or a residence permit card.

To begin verification, click **“profile”** in the first step of onboarding, or go directly to <https://app.kleos.io/verification>

The **“Consent to start verification”** window will appear. Review the information, then click **“Agree and continue”** to proceed.

We use **Sumsub** to quickly verify your identity using your information and documents. Your data is securely protected and will not be shared with third parties.

### Start verification

If you have used Sumsub before, you can enter the same email address and complete verification quickly with Sumsub ID. Otherwise, prepare your identity document and be ready to complete an automated video verification process. Please note that a webcam is required for the liveness check.

If you open the verification flow on your phone using the QR code, make sure that both devices are connected to the same **Wi-Fi** network and that **VPN is turned off** on both devices.

### **Upload documents**

Next, you will need to submit the information required for document verification. You can continue the verification process either through your computer browser or on your smartphone. Then, choose the appropriate document type and upload the photos. Complete each step by clicking **“Continue”**

### **Complete verification**

After you upload your documents and complete the liveness check, you will see a confirmation that your account has been verified.

Once **KYC** is completed successfully, the verified information is automatically added to your profile and becomes **read-only**, so it cannot be edited manually.

Click **“Proceed to tax details”** to continue to the next step.

## **Fill in your tax information**

To withdraw funds, you need to provide your country of residence and tax status.

Enter your country of residence, tax status, tax ID number, and any other information required for your location.

Enter the address details for your **Individual Enterpreneur** if you are registering as a **Individual Enterpreneur**, or your **personal residential address** if you are registering as an **individual**. Once all fields are completed, click **“Save”**

### Complete your profile

Once you have successfully completed the required information, you will see a confirmation message. If your company has not invited you yet and is not registered on the platform, click **“Invite a company”** to move on to the next step. # How to Accept an Invitation from a Company or Invite a Company

We’ll explain how to complete the second required step — “Accept or invite company”

To receive payouts and withdraw funds through the Kleos platform, you must either accept an invitation from the client Company or invite the Company to join the platform.

## **Accepting an Invitation from a Company**

### **Receiving an invitation**

The company sends the invitation through the Kleos platform. The invitation includes:

* the **service role** (your role in the company)
* a description of the services to be provided
* the payout frequency

After that, the invitation will be sent to your email address.

### **Log in to Kleos**

* Open the email notification from **Kleos**
* Click **“Accept Invitation on Kleos”**
* You will be automatically redirected to the **Kleos** platform
* Log in using the same email address to which the invitation was sent

After logging in, you will be taken to your personal account, where you can:

* view the Company invitation
* access a checklist of the steps required to receive funds

### **Complete your profile**

Before accepting the invitation, make sure your profile is fully completed. This step is important because the accuracy of the information you provide affects:

* the correctness of your agreement with **Kleos**
* the speed and timing of payout processing

* Go to the **“Companies”** section of the platform
* Find the relevant invitation in the table
* Open the service details page and review the terms of cooperation
* Click **“Accept service invitation”**

### **Company Status — Active**

Once you accept the invitation successfully, the Сompany’s status will change to **“Active.”**

This means you can now receive payouts from this company or request them through the platform.

## How to Invite a Company to the Platform

If your Сompany is not yet on the platform, you can invite them to join.

On the **Companies** page, click **“Invite a company”**

Enter the company’s email address, your role, and the payout frequency, then click **“Invite a company”** to send the invitation.

Once confirmed, the Company will receive an email, and a confirmation window will appear on the screen.

# How to Sign Your Agreement with Kleos

This section explains how to complete the third required step — “Sign contract with Kleos"

## **Steps for contractors to sign the agreement in DocuSign:**

* Open the checklist and click the link in the third step
* Review the agreement and make sure all the information is correct
* Start the signing process and follow the on-screen instructions
* Click **“Finish”**
* Once the agreement is signed, the signing status in your personal account will update automatically

After the agreement has been signed successfully, you can download it from your profile at <https://app.kleos.io/profile> in the **“Document data”** section.

# How to Receive or Request a Payout

In the **“Payouts”** section, all payouts are grouped into three categories based on their payout date and status:

* **Unpaid** — payouts scheduled for the current month, along with the number of such payouts
* **Scheduled** — payouts planned for the following month, along with the number of such payouts
* **Paid** — payouts that have already been received, along with the number of such payouts

## **All payout actions**

Below is a list of actions you can perform with a payout:

* **Create a new payout**
* **View payout details**
* **Edit** (available only for unpaid or scheduled payouts, and only if you created the payout)
* **Delete** (available only for unpaid or scheduled payouts, and only if you created the payout)

### **Creating a payout**

There are two types of payouts:

* **Automatically created payouts** — these are generated based on the specified dates and amounts if the Contractor’s payout frequency is set to **“Once a month,” “Twice a month,”** or **“Once a week.”**
* **Manually created payouts** — these can be created regardless of the payout frequency selected when the Contractor was added.

To receive a payout, make sure you have accepted the invitation from the Company you work with. Go to the **“Companies”** section and check the company’s status. It must be **“Active”** — only then will the Company be able to send you a payout.

To create a payout manually, click **“Create payout”** and fill in the following three fields:

* **Company – Role**
* **Payout date**
* **Amount and currency** (available options: **$, €**)

Once created, the payout will appear both on the Company’s side with the relevant details and in your account. It will be assigned to one of two groups based on the selected payout date:

* **Unpaid** — if the payout date is within the current month
* **Scheduled** — if the payout date is in the next month or later

Please note that payouts cannot be created with a zero amount. The minimum allowed amounts are **1 USD/EUR**.

The Company’s balance must be sufficient to cover the payout amount **including the Kleos fee**. The Company must then click **“Pay”** on the relevant payout to you, regardless of the selected payout date. Only after that will the payout be credited to your balance, and an email notification confirming the payout will be sent to you.

Once the payout is received, your balance will be credited with the amount specified in the payout, in the corresponding currency.

### **Payout details**

To view detailed information about a payout, open **“Details”** by clicking the **three-dot menu** or simply selecting the row in the table.

#### **Total payout amount**

Above the table, you will see the total aggregated amount for:

* all **unpaid** payouts
* all **scheduled** payouts
* all **paid** payouts

### **Editing a payout**

Only the user who created the payout can edit it

To edit a payout, open the **three-dot menu** and click **“Edit”.** You can update the **payout date**, **currency**, and **amount**. Editing is only available for **unpaid payouts** and is not affected by the currency set for the contractor.

### **Deleting a payout**

Only the user who created the payout can delete it

If necessary, you can delete a payout. Once deleted, it will no longer appear in the list. To do this, open the **three-dot menu** and click **“Delete”.** Deletion is available only for **unpaid payouts**.

## Planned payouts

# How to Withdraw Funds

Withdrawing funds to your bank account or cryptocurrency wallet

After you receive a [payout from the Company](/for-contractors-1/how-to-receive-or-request-a-payout), your balance will be credited with the corresponding amount. You will also receive an email notification confirming that the funds have been added to your balance on the Kleos platform.

The next step is to choose the amount and currency you want to withdraw to your bank account.

## Withdraw in 80+ currencies

Kleos supports withdrawals in more than 80 currencies. Select your preferred currency when adding a withdrawal method. Available options depend on your country and the selected withdrawal method.

Only withdrawals to bank accounts and cards registered in your name are possible. Withdrawals to third-party accounts will be declined, and the funds will be returned to your Kleos balance.

## **Withdrawal processing times**

Standard withdrawal times vary depending on the payment method:

* **Visa/Mastercard** — usually **instant**, though in some cases it may take up to **30 minutes**. Additional checks may extend processing time to **24 hours**.
* **USDT** — usually **instant,** additional checks may extend processing time to **12 working hours**.
* **SWIFT / ACH** — **1-3 business days**. Depending on your country and bank, the transfer may take up to &#x34;**–5 business days** to be completed.
* **Local bank transfer —** 2–3 hours or up to 5 hours in some cases. Transfers may take up to 24 hours if additional checks are required.

The transfer time depends on your bank, your country of residence, and your bank’s internal policies for processing transactions.

### Select a Balance for Withdrawal

If your account has balances in multiple currencies, you can select a specific balance to withdraw from or choose **“All balances”.** If you select **“All balances,”** the total available amount across all your balances will be calculated automatically.

If your account has a balance in only one currency, this selection will not be displayed.

### Review the Exchange Rate

Once you select the required currency, an information window will display the current exchange rate. The rate is locked for 15 minutes from the moment the withdrawal process begins and is updated automatically.

If the withdrawal currency matches your balance currency, no currency conversion will be performed.

### Complete the Withdrawal

Change the payment purpose if necessary. Once all the required details have been entered, click **“Confirm”** to complete the withdrawal. A withdrawal confirmation window will appear.

After you add a new withdrawal method in any currency, the first transfer to the new payment details may be reviewed by the Kleos Finance team. This review may take up to 24 hours.

Once your payment has been sent, you will receive a notification at the email address you provided during registration.

The beneficiary’s bank account number to which the funds will be transferred.

Enter the complete account number exactly as shown in your bank details. Depending on the country and bank, this may be:

* a local bank account number;
* an IBAN;
* another account format specified by the bank.

Do not enter a card number unless your bank explicitly confirms that it should be used as the account number for incoming SWIFT transfers.

The SWIFT/BIC code of the beneficiary’s bank. This code identifies the bank when processing an international transfer.

A SWIFT/BIC code usually consists of 8 or 11 Latin letters and numbers.

Use the SWIFT/BIC code provided in your official bank details. Do not select a code based solely on the bank’s name, as one bank may have different codes for different branches or currencies.

Enter the name exactly as shown in your bank’s incoming transfer instructions, without translating or abbreviating it.

The SWIFT/BIC code of the correspondent bank.

The code usually consists of 8 or 11 Latin letters and numbers.

Enter the code exactly as provided in your bank’s correspondent banking details.

#### Bank account number

The account number that the beneficiary’s bank holds with the correspondent bank.

In your bank details, it may also be referred to as:

* Correspondent account;
* Correspondent bank account number;
* Account with intermediary bank;
* Nostro account;
* Account number;
* For further credit.

Do not enter the beneficiary’s personal account number in this field. Use only the account number specified in the correspondent bank section of your bank details.

### Local bank transfer

#### Account Number

The recipient’s bank account number to which the funds will be credited.

Enter the full account number without abbreviations. Depending on the country, this may be:

* a local bank account number;
* an IBAN;
* an account number in the format specified in your bank details.

Do not enter a card number unless your bank has explicitly confirmed that it is also used as the account number.

### ACH

ACH withdrawals are available to eligible US bank accounts. Enter your bank account number and nine-digit ACH routing number exactly as shown in your bank details. Make sure the routing number is intended for ACH transfers rather than domestic wire transfers.

#### Bank account number

The beneficiary’s bank account number to which the funds will be transferred via ACH.

Enter the complete account number exactly as shown in your bank details. Make sure the account is eligible to receive ACH transfers.

Do not enter:

* a debit or credit card number;
* an IBAN;
* a SWIFT/BIC code;
* a routing number.

You can usually find the account number in your banking app, bank statement, or ACH deposit instructions.

#### Routing number

The nine-digit routing number used to identify the beneficiary’s bank for ACH transfers in the United States.

It may also be referred to as:

* ACH routing number;
* ABA routing number;
* Routing Transit Number;
* RTN.

Enter the routing number specifically designated for **ACH transfers**. Some banks use different routing numbers for ACH transfers and domestic wire transfers.

Do not enter:

* a SWIFT/BIC code;
* a bank account number;
* a card number;
* a wire routing number if it differs from the ACH routing number.

### Visa/Mastercard

Withdrawals are available only to personal Visa or Mastercard cards issued in your name. Check the card number and cardholder name carefully before proceeding. If the payment currency differs from your card’s currency, your bank may convert the payment using its own exchange rate and may charge additional fees.

#### Card number

The number of the Visa or Mastercard card to which the funds will be transferred.

Enter the complete card number exactly as shown on the card or in your banking app. Card numbers usually contain 16 digits, although the length may vary.

Only use a personal card issued in your name. Withdrawals to cards belonging to relatives, friends, colleagues, or other third parties are not permitted.

Do not enter:

* a bank account number;
* an IBAN;
* a SWIFT/BIC code;
* the card’s expiration date;
* a CVV/CVC security code.

#### Cardholder name

The first and last name of the cardholder.

Enter the name in Latin characters exactly as shown on the card or in the bank’s card details.

The cardholder name must match the name of the account owner. If the name is not printed on the card, use the name shown in your banking app or official bank details.

#### You withdraw

The amount that will be deducted from your available balance.

Select the withdrawal currency and enter the amount you want to transfer. The amount cannot exceed the balance available for withdrawal.

The **Withdraw max** option shows the maximum amount currently available for withdrawal using this method.

#### You’ll receive

The amount and currency that will be sent to your card.

If the card supports the selected currency, the full amount will be sent in that currency. Otherwise, the card-issuing bank may convert the payment into the card account’s currency.

The final credited amount may differ because the card issuer determines:

* the exchange rate;
* any conversion fees;
* any incoming payment fees.

## **Crypto (USDT TRC20) withdrawal procedure**

Before a USDT TRC-20 withdrawal is created, the platform automatically checks the recipient wallet address using an external compliance service.

A withdrawal will not be created if the wallet address:

* has no transaction history;
* is identified as high-risk;
* is associated with sanctioned individuals, entities, or services;
* belongs to a prohibited or sanctioned exchange;
* is linked to other risk factors that prevent the payout from being processed in accordance with legal requirements and compliance procedures.

**Withdrawals are only available to**:

* the recipient’s personal wallet with confirmed transaction history and no indicators of elevated risk;
* a wallet of an exchange or service included in the approved list below with confirmed transaction history.

### **Approved exchanges and services**

At the moment, USDT TRC-20 withdrawals are available to wallets of the following exchanges and services:

Kraken, Bison, Coins.ph, Binance, OKX, Bybit, Bitget, MEXC, KuCoin, Gate.io, BingX, CoinEx, WhiteBIT, Bitfinex, BitMEX, Poloniex, Telegram @wallet, CryptoBot (Telegram), CWallet (ex-CCTip), WestWallet, Kast, Revolut, Cactus Custody, FunPay, Plisio, Lido.

The list of approved exchanges and services may be updated. If the selected wallet does not pass the compliance check, please provide another address: either a personal wallet with transaction history or a wallet of one of the approved exchanges or services with confirmed transaction history.

### How to withdraw USDT TRC20

You can withdraw funds only up to the available balance in the selected currency (USD for USDT, 1:1). Funds in other currencies are not converted automatically at the time of withdrawal.

To withdraw funds in **USDT**, select the relevant option at <https://app.kleos.io/withdraw>. Then enter your **USDT wallet address on the TRC20/Tron network** in the window that opens. After filling out the address, double-check it for accuracy and click the **Save method** button. This template will be available for the future withdrawals.

The next step is to enter the withdrawal amount. After that, click the **Confirm** button to submit your withdrawal request for processing.&#x20;

On the <https://app.kleos.io/history> page, open the relevant withdrawal and check the **Track No.** field. There, you will find a link that allows you to track the payment status and movement of funds.

# Checking the Status of a SWIFT Payment

Our contractors expect to receive funds in their bank accounts as quickly as possible, and as a payroll service, we aim to support that expectation efficiently. However, in some cases, withdrawals may be delayed due to currency control regulations in certain countries, which require manual review of international transfers.

In this article, we'll explain how to track a withdrawal sent from the Kleos platform to your bank account.

Currently, only USD transfers can be tracked. Although we cannot provide a full step-by-step tracking solution, we recommend using a useful tool that allows you to check the status of your transfer.

To track your transfer, you'll need two things:&#x20;

• UETR&#x20;

• Access to the Deutsche Bank website and [**its tracking feature**](https://corporates.db.com/solutions/client-access-solutions/international-payment-tracking/) (no sign up required)&#x20;

**What is UETR?**&#x20;

* UETR is a unique code used to identify an outgoing money transfer within the SWIFT system. It helps the recipient of the funds track their transaction at all stages, in all banks and financial institutions.

Where can I find the UETR for my payout?

* Currently, you can obtain the UETR for your transfer by contacting our Support team at <support@kleos.io>

Once you obtain the UETR for your transfer, copy it and navigate to the Deutsche Bank website. Scroll down to the Payment Status Search section. Paste your UETR into the **Unique End-to-End Transaction Reference** field and press the **Search** button.

The **Payment Status** page will open, and it will display information about the status of your transfer.&#x20;

A transaction can be rejected for various reasons. The most common one is compliance — in other words, the bank’s internal policies regarding certain types of transfers. Banks may refuse to process a payment if it doesn’t meet their compliance requirements.

# Where to Download Contract and Invoices

Contractors can download documents from the platform. This can be useful for maintaining accurate accounting records and for providing documents to a bank when needed.

On the Kleos platform, Сontractors can download two types of documents.

## **Contract**

This is the main document your accountant, tax authority, or bank may request. It confirms the source and legitimacy of your income.

You can download the agreement from your Kleos [profile page](https://app.kleos.io/profile) by clicking the download button in the **“Document data”** section.

## Invoices

These are invoices we generate for your withdrawal requests so you can document each payment received from Kleos. Banks also often request this document.

An invoice is generated automatically when a withdrawal is created.

You can download invoices from the **“**[History](https://app.kleos.io/history)**”** section by opening the relevant payout and clicking **“Download PDF invoice”**, or by opening the **three-dot menu** in the corresponding row and selecting **“Download PDF”**

# Taxes

When withdrawing funds from Kleos, you’ll receive the full amount requested. Please note that you’re responsible for calculating and filing any applicable taxes with the relevant government authority.

# Adding an Additional Tax Profile

If you are legally eligible to receive and report contractor income in more than one country, you can add multiple tax profiles to your Kleos account.

This eligibility may be based on an active registration as an individual entrepreneur, sole proprietor, self-employed individual or another tax or business status that allows you to legally conduct business and receive income in the relevant jurisdiction. Citizenship, a residence permit or tax residency may also be considered if accompanied by the registrations required under local law.

You must create a separate tax profile for each country and provide the corresponding registration, tax and payment details. When receiving a payout, you will be able to select the tax profile through which the payout should be processed.

Example: you are a citizen of Kazakhstan and are registered there as an individual entrepreneur. At the same time, you also have an active individual entrepreneur status in Georgia. In this case, you can create two tax profiles in Kleos, one for Kazakhstan and one for Georgia and select the appropriate profile for each payout.

Only add a tax profile if you have a legal basis to receive and report income in the selected country. You must use only your own personal information and payment methods registered in your name. Payments involving third-party details or payment methods will be rejected.

### Complete the company profile

### Add contractors

While the agreement is being signed, you can already add contractors by entering their email addresses and the required details, such as payout frequency and payout amounts.

The contractors will receive an invitation to Kleos and then sign the agreement through **DocuSign**.

### Top up your balance

Once the agreement is signed, you can top up your Kleos balance right away.

We support various top-up methods, including **USDT**. After the funds are sent to Kleos’s account, the top-up will be recorded automatically and the funds will be credited to your balance.

### Create and pay a payout

The final step is to create payouts for contractors by selecting the payout date and amount.

If the payout frequency is set to **“Once a week,” “Twice a month,”** or **“Once a month,”** payouts will be created automatically, and you will only need to pay them. Once paid, the funds will be instantly credited to the contractor’s balance, and the contractor will be able to withdraw them at any time using a convenient withdrawal method.

# How to Complete the Company Profile

**The first important step is to complete your Company profile.**\
You can do this in two ways: by clicking the **Start** button in the checklist or by clicking your Company name in the upper-right corner of the screen.

# How to Sign Your Agreement with Kleos

The second important step is to sign your agreement with Kleos. The agreement is signed electronically through **DocuSign**.

To begin, click **“Start”** in the checklist:

After you click **“Start”**, you will see a page with the steps required to sign the agreement.

1. Review the agreement and make sure all the information is correct.
2. Start the signing process and follow the on-screen instructions.
3. Click **“Finish”**

Once the agreement is signed, the signing status in your personal account will update automatically.

After successful signing, you can download the agreement from your profile at <https://app.kleos.io/profile> in the **“Documents”** section.

# How to Invite a Contractor

To start working with Сontractors and send them payouts under the selected service, follow these steps:

### **Go to the “People” section**

Open the **“People”** section in your account and click **“Invite contractor”**

### Fill in contractor details

After clicking **“Invite contractor”**, a window will open where you need to specify the following parameters:

#### **Contractor email**

Enter the Сontractor’s email address. The invitation will be sent to this address.

#### **Role**

Select the appropriate type of service the Сontractor will provide to your company. We have prepared templates for the most common roles, choose the one that best matches your needs. If none of the templates fit, contact us at **<support@kleos.io>**, and we will add a custom role specifically for you.

#### **Payout frequency**

Specify how often payouts for the contractor’s services should be generated. Four options are available:

* **Weekly**
* **Monthly**
* **Bi-Monthly**
* **Pay-as-you-go**

Once all fields are completed, click **“Invite contractor”** The Contractor will receive the invitation by email. After the contractor accepts it, you will be able to send payouts.

Open the downloaded template and fill in the required information. Only the fields marked with an **“\*”** are mandatory: **“Contractor email”, “Contractor role”** and **“Payout frequency”.** All other fields can be completed later.

#### **Contractor email**

Enter the Сontractor’s email address. The invitation will be sent to this address.

#### **Role**

Once the template is uploaded, the **Bulk invite** window will show the list of contractors to be invited. You can still edit the details or add missing information at this stage. When everything is ready, click **“Invite contractors”** to send the invitations.

### **Complete the invitation process**

All set! After you click **“Invite contractors”,** you will see a confirmation window showing that the invitations have been sent.

## How a Contractor Accepts an Invitation

In brief, the process is as follows:

* The Сontractor receives an invitation by email.
* They follow the link in the email and accept the invitation.
* After the invitation is accepted, the Сontractor becomes active in the system.

## After activation

Once a Contractor’s status changes to **“Active”,** you can create and send payouts to them, view the Contractor list, and edit the details of the services they provide.

Go to the **“People”** section to view all Contractors and check their agreement status. Use filters to find the relevant Contractors more quickly.

## **Managing terms**

In the Contractor’s card, you can view all details and update the service terms set during creation if needed. These terms can be edited in any status.

# How to Top Up Your Company Balance

This guide explains how to top up your Company balance so you can send payouts to Contractors.

The balance can be topped up in two currencies:

* **USD**
* **EUR**

For **USD**, the following top-up methods are available:

* **ACH**
* **SWIFT**
* **Crypto**

For **EUR**, only **SWIFT** is available.

To select a top-up method, click the chevron in the balance row or [use this link](https://app.kleos.io/top-up), then choose the relevant method.

Next, select the currency and the amount you want to top up, then click **“Create invoice”.**

The system will generate an invoice with the payment details you need to use for the transfer. Your balance will be topped up automatically once the funds are received by the bank.

## Crypto top-up in USD

Companies can also top up their balance in **USD** using cryptocurrency. Kleos accepts **USDT on the TRC20 network**.

We work with **BVNK**, a payment system that enables a fast and compliant process for topping up your USD balance with USDT.

BVNK charges a **2% top-up fee** and applies the current USDT-to-USD exchange rate.

Enter the amount you want to top up. The system will calculate and display the amount to be paid, including the **2% fee**. Then click **“Confirm”.**

The system will show a confirmation window once the payment link has been created. Click **“Proceed to top-up”** to open the payment page and complete the top-up.

Your balance will be topped up automatically once the cryptocurrency transaction is confirmed.


# How to Send a Payout to a Contractor

In the **“Payouts”** section, all payouts are grouped into three categories based on their payout date and status:

* **Unpaid** — payouts that need to be paid by the end of the current month.
* **Scheduled** — payouts planned for the following month.
* **Paid** — payouts that have already been paid to Contractors.

## **All payout actions**

Below is a list of actions you can perform with payouts:

* Create a new payout.
* Pay a single payout or pay multiple payouts at once using bulk selection.
* View payout details.
* Edit a payout — available only for unpaid and scheduled payouts.
* Delete a payout — available only for unpaid and scheduled payouts.

### **Creating a payout**

There are two types of payouts:

* **Automatically created payouts** — these are generated automatically based on the specified dates and amounts if the Contractor’s payout frequency is set to **“Once a week,” “Once a month,”** or **“Twice a month.”**
* **Manually created payouts** — these are created manually, regardless of the selected payout frequency.

To create a payout manually, click **“Create payout”** and fill in the following fields:

* Contractor
* Payout date
* Amount and currency — **$, €** are available

For convenience, the Kleos fee is shown below the payout amount and is charged together with the payout. Please consider it when planning your budget and topping up your Kleos balance.

Payouts cannot be created with a zero amount. The minimum payout amount is **1 USD** or **1 EUR**.

Payouts also cannot be created for Contractors with the status **“Invited”** or **“Inactive”.** Payouts are available only for Contractors with the status **“Active”.**

Once created, the payout will be automatically grouped based on the selected payout date:

* **Unpaid** — if the payout date is within the current month;
* **Scheduled** — if the payout date is in the next month or later.

### **Paying a payout**

The key step is paying the payout. You can either pay a single payout or pay multiple payouts at once using bulk payment.

To pay a single payout, click **“Pay”** in the payout list or in the payout details. Once the payment is confirmed and your balance is sufficient, the funds will be instantly debited from your balance and credited to the Contractor’s balance.

You can select all payouts or choose several payouts by using the checkboxes on the left side of the table. Then click **“Pay selected”** above the table.

After you click **“Pay selected,”** a confirmation window will open where you can exclude any payouts that should not be paid. Review the list and click **“Pay”** to complete the payment.

If the balance has sufficient funds, the payment will be completed successfully. The Contractors’ balances will be credited instantly, and the corresponding amount will be deducted from the Company balance.

If the balance is not sufficient to pay all selected payouts, only the payouts that can be covered by the available funds will be paid. The confirmation window will show which payouts were paid successfully and which were not.

### **Payout details**

To view detailed payout information, open **“Details”** by clicking the **three-dot menu** or selecting the relevant row in the table.

### **Editing a payout**

To edit a payout, open the **three-dot menu** and click **“Edit.”** You can update the payout date, currency, and amount.

Editing is available only for unpaid payouts and is not affected by the currency set for the Contractor.

### **Deleting a payout**

If necessary, you can delete one or several payouts at once. Deleted payouts will no longer be displayed in the list.

To delete a single payout, open the **three-dot menu** and click **“Delete”.** Only unpaid payouts can be deleted.

To delete multiple payouts, select them using the checkboxes on the left side of the table. The **“Delete selected”** button will appear above the table. In the confirmation window, you can remove any payouts that should not be deleted, then confirm the bulk deletion.

Below is an example of how to select multiple payouts and delete them all by clicking **“Delete delected”.**

After you click **“Delete selected”,** a confirmation window will open where you can remove any payouts that should not be deleted. Review the list, then click **“Delete”.**

## **Actions for a created payout**

Below is an example of a created payout and the actions available from the **three-dot menu** at the end of the row. From this menu, you can access:

* **Details**
* **Edit**
* **Delete**

## **Total payout amount**

Above the table, you can see the total aggregated amount, including the Kleos fee, for:

* all unpaid payouts
* all planned payouts
* all paid payouts

You can also select multiple payouts to view their combined total.

## **Planned payouts**

The **“Planned”** group helps you plan your budget, top up your balance, and manage payouts for the next month and later periods. It shows all upcoming amounts to be paid, including the Kleos fee. If needed, you can pay these payouts immediately.

## **Paid payouts**

The **“Paid”** group lets you view all previously paid payouts together with their details. It also shows the number of paid payouts and their total amount, making it easier to analyze past payments.

## **Filtering the list**

To make analysis easier, you can use filters to narrow down the payout list by:

* **Payout date** — select a start and end date.
* **Payout number** — select one or multiple payout numbers.
* **Contractor role** — select one or multiple roles.
* **Contractor** — select one or multiple Contractors by full name.
* **Payout amount** — set a minimum and maximum amount.

To reset a filter, click the **X** next to the filter button, or open the filter and click **“Reset”** in the window that appears.

# Where to Download Agreements and Invoices

Kleos automatically generates all the documents required for working with your Company. You do not need to create them manually or send them to us. This section explains where you can download these

## Agreement

The agreement is the key document that defines the main terms of cooperation between your Company and Kleos. You can download it from the **“Documents”** section [of your profile](https://app.kleos.io/profile).

Companies receive the agreement for signing automatically through the **DocuSign** electronic signature system.

Once signed, the agreement remains available in [your personal account](https://app.kleos.io/profile).

## **Invoices**

Top-up invoices are generated when you create a balance top-up request. To download the PDF file, go to **“History” → “Top-ups,”** select the relevant top-up, and click **“Download PDF invoice”.**

# How to Give Employees Access to the Company Profile

On Kleos, you can add users to your Company account. Depending on their role, they can edit company information, manage payouts and contractors, and give access to other users.

* Admin\
  Edit company details, create invoices for top-ups, manage contractors and payouts, add admins, and configure access.

* <mark style="color:$info;">Viewer (Soon)</mark>\ <mark style="color:$info;">View the list of contractors, payouts, and transaction history, without the rights to create or delete.</mark>

## **Switching between accounts**
